SUMMARY: The Accounting Clerk is responsible for processing the ISD payroll deduction checks/registers and for performing routine administrative, clerical and data entry work under general supervision.

ESSENTIAL FUNCTIONS:

  1. Receive ISD payments, reconcile to ISD payment register, enter into database and prepare for deposit; troubleshoot/correspond with ISD offices when required.
  2. Enter IMR payments into the database.
  3. Prepare register summary.
  4. Coordinate and maintain filing system for ISD payments/registers.
  5. Correspond with and assist payroll members and ISD offices to address payroll authorization / deduction questions and resolve issues; prepare debit/credit memo to resolve balances and forward to Payroll Deduction Specialist for processing.
  6. Review ISD account balances monthly and prepare /send payment reminders as needed; maintain a tickler system of correspondence and issues.
  7. Coordinate, with the Local Unit Coordinator, the implementation of the annual Membership Rollover; includes annual phone bank project with ISD payroll offices and preparation of member rollover lists.
  8. Prepare annual ISD letter /mail-out to collect information sheets from ISD’s.
  9. Assist with the annual rollover phone bank and preparation of annual ISD rollover information sheets and rollover member lists.
  10. Sort and distribute accounting department mail.
  11. Maintain effective relationships with and among staff at all levels of the association and maintain good working knowledge of general association issues to be able to provide excellent assistance to members and staff upon request.

NON-ESSENTIAL FUNCTIONS:

  1. Make recommendations for improving service to members.
  2. Maintain and update accounting procedures and checklists for the ISD payment/register system.
  3. Assist with other accounting department filing as assigned.
  4. Complete special projects as assigned.
  5. Primary back up for bank deposits and post office mail

KNOWLEDGE, SKILLS, ABILITIES:

  1. Good analytical, data gathering and attention to detail skills.
  2. Good organizational and time-management skills.
  3. Ability to communicate effectively both orally and in writing

QUALIFICATIONS:

  1. High school diploma or equivalent.
  2. Accurate data-entry skills with a minimum of 8000 keystrokes per hour.
  3. Intermediate skills level in Excel, Word and Outlook.
  4. Minimum of 1 year experience in customer services.
  5. Minimum 1 year experience in accounts receivable preferred.

WORK ENVIRONMENT:

  • General office environment
